Information we collect

The information we collect depends on how you interact with us. It may include your contact details and the contents of an enquiry; newsletter preferences; information connected with an order, donation, booking or event; and material you choose to submit for research, participation, collaboration or publication, such as biographical details, photographs, recordings or written material.

We also receive limited technical information when you use our website. Cookie choices and the current cookie information are managed separately through our Cookie Settings control.

Website features, media and embedded content

If we enable comments, we may collect the information shown in the comment form, together with the visitor IP address and browser user-agent string, to help with spam detection. Where Gravatar is used, an anonymised hash of an email address may be sent to that service; after a comment is approved, the profile image may be visible beside it. Comments and their metadata may be retained indefinitely so that follow-up comments can be recognised and approved.

If we offer user accounts, we will store the information people provide in their profile. Account holders can access and correct their profile information. Requests to delete an account or associated personal information can be made using the contact details in this notice. Website administrators may also access profile information to operate the service. A password-reset email may include the IP address from which a reset request was made.

If you upload images, please avoid including embedded location data, such as EXIF GPS data, unless it is necessary. Visitors may be able to download published images and extract that information.

Our pages may include embedded content, such as videos, images or articles, from other websites. Embedded content behaves as if you had visited the provider website directly. Those providers may collect information, use cookies or tracking, and monitor your interaction with their content, particularly if you have an account with them.

How and why we use information

• Enquiries to respond to you and manage your request. Our lawful basis is our legitimate interests in communicating about our work and services.
• Newsletters and updates to send information you have asked to receive. Our lawful basis is consent. You can unsubscribe at any time using the link in an email or by contacting us.
• Orders, donations, bookings and events to provide the relevant service or complete the transaction. Our lawful basis is contract and, where relevant, legal obligation.
• Accounts and records to meet legal, financial and reporting obligations. Our lawful basis is legal obligation.
• Website security and improvement to maintain a secure website and understand how services are used. Our lawful basis is legitimate interests, or consent where required for optional cookies.
• Contributions and material for publication to assess, manage and, where agreed, use a contribution. The precise lawful basis will be made clear in the relevant contribution or publication agreement.

Sensitive personal information

Some material submitted to us may reveal sensitive information, including political opinions, religious beliefs, health information, ethnicity, sexual orientation or trade-union membership. We will only collect or use this information where it is necessary, an appropriate lawful condition applies, and we have explained what will happen to it. Where appropriate, we will ask for explicit consent before using or publishing it. Please do not send sensitive information unless we have invited you to do so or you are comfortable for us to consider it.

Who we share information with

We do not sell personal information. We may share it with trusted service providers only where they need it to provide their service. These include providers for website hosting and technical support, CookieYes cookie consent controls, EmailOctopus newsletters, and Ecwid shop services where you choose to use them. We may also share information with professional advisers, insurers, regulators or public authorities where required by law.

Some of the service providers we use may store or access personal information outside the United Kingdom. Where this is a restricted transfer, we use a transfer mechanism permitted by United Kingdom data-protection law. How long we keep information

We do not operate a fixed retention schedule for every type of record. We keep personal information only while we need it for the purpose for which it was collected, or where we need it to meet a legal obligation or deal with a complaint or claim. We periodically review the information we hold and remove or anonymise information we no longer need. We do not rely on automated deletion. We keep this notice under review and update it before we introduce a new use of personal data. Where changes are material, we will highlight them where appropriate and update the last-updated date.

Our website may link to external websites, social-media platforms, shops or partner organisations. They have their own privacy notices, and we are not responsible for their privacy practices.

Your rights

Depending on the circumstances, you can ask us for access to your personal information; correction of inaccurate information; deletion or restriction of information; a portable copy of information you gave us; or to object to processing based on legitimate interests, including direct marketing. You can withdraw consent at any time where we rely on consent.

If you have a website account or have left a comment, you can ask for an exported copy of the personal information we hold about you, including information you provided to us. You can also ask us to erase it. This does not include information we need to keep for administrative, legal or security purposes.
